ADHD club respects your right to privacy. This privacy notice explains who we are, how we collect, share, and use personal information about you, and how you can exercise your privacy rights.

ADHD club reserves the right to make changes periodically to this Privacy Notice at our discretion, when needed. Any changes will be communicated to you, so you are kept up to date with the information you are entitled to.

The personal data we are collecting from you and how we will use it For coaching clients:

  • General Info: Name, age, and occupation are used on our client information form for us to get a better understanding of who you are and what you do before coaching commences.

  • Health Info: We also collect information on if you are medicated or not medicated for ADHD and if you are in therapy to get a picture of your mental health, as coaching is associated with wider mental health.

  • Contact & Billing: Contact details (name, address, email) are collected for invoicing purposes so we can send invoices to charge you for coaching, and we need addresses on our invoices for tax records.

  • Emergency Contact: Emergency contact details are collected for safeguarding purposes; if we do not hear from you regarding a missed session, we will contact your emergency contact person.

  • Session Recordings: We may record coaching calls for your personal review and for professional quality standards. These recordings are handled as sensitive personal data.

For marketing purposes:

We collect your name and email address when you opt in to receive marketing materials or download digital products from the ADHD club website so we can send you emails. There is the option to opt out at any time. ADHD club collects names and email addresses for people who opt in to sign up for the ADHD club newsletter via our website which is hosted in SquareSpace. Your name and email address is collected via Flodesk, which is the platform we use to send out marketing emails.

For ADHD club workshops:

We collect your name, email and payment details via Stripe to charge you for ADHD club workshops. We collect your contact details to send you the link to ADHD club workshops via Google Calendar. Your name and email address is collected via Flodesk to send reminder emails and workshop materials.

  • ADHD Coaching: Performance of a Contract

  • Marketing: Consent or Legitimate interests

  • ADHD Club workshops: Performance of a Contract

How long do we keep your Personal Data?

  • Coaching Records: We keep your personal data for 1 year after coaching commences on Coach Accountable so you can access your coaching records. After 1 year we delete your data.

  • Marketing: We keep your name and email address for up to 5 years. After this period, we ask you to opt in again or delete your data if you do not reply.

  • Workshops: Data is deleted every 3 months from Stripe and Flodesk after workshops have finished.

Sharing your Personal Data

We share your personal data with ADHD club staff, including contracted VAs and freelance associate coaches, so they can contact you in the event that the director of ADHD club is absent.

Disclosure of Coaching Recordings:

Coaching call recordings may be shared with Charlotte Forbes (ADHD Club Founder). This sharing is strictly limited to the following purposes:

  • Supervision: To ensure high coaching standards and professional development.

  • Complaints: To provide an objective record in the event of a dispute or grievance.

  • Safeguarding: To fulfill legal and ethical obligations if a risk of harm to yourself or others is identified.

Third-Party Platforms:

  • Coach Accountable: To host personal data for coaching clients.

  • Calendly & Zoom: To schedule and host intro calls.

  • Fathom.ai: To store coaching notes and summaries.

  • Google Drive: As a backup to Coach Accountable, and for emails

  • Stripe: For workshop payments.

  • Flodesk & SquareSpace: For marketing and workshop communications.

International Transfers of your Personal Data

Stripe, Coach Accountable, Flodesk, and SquareSpace transfer personal data to the USA. All of these companies have in place the appropriate safeguards to ensure your personal data can be transferred lawfully and safely.
